Day 01: Arrival in Kathmandu

At TripRowers, we understand that plans can change. To ensure a smooth process, we’ve outlined the following cancellation policies for our domestic and international trips. Please note that cancellation policies are non-negotiable, and a 5% GST will be applicable on the total cancellation amount.

These Terms and Conditions ("Terms") govern the relationship between you ("Client" or "you") and Triprowers Pvt. Ltd. ("Triprowers," "we," or "us"). By booking any tour or service with Triprowers, you agree to be bound by these Terms. Please read them carefully.

Booking Policy

1. Booking Confirmation

  • To confirm your booking with TripRowers, a minimum deposit of 30% of the total trip cost is required at the time of booking. For certain trips, a higher deposit may be required, which will be communicated during the booking process
  • The remaining balance must be paid at least 15 days prior to the departure date for domestic trips and 30 days for international trips. Failure to make full payment within this period may result in cancellation of the booking.
  • Bookings made within 20 days (domestic) or 45 days (international) of the departure date must be paid in full at the time of booking.
 

2. Late Payments

  • If full payment is not received by the due date, TripRowers reserves the right to cancel your booking and retain the deposit as per our cancellation policy.
  • In some cases, a grace period may be offered, subject to availability and at the discretion of TripRowers.
 

3. Payment Methods

  • We accept payments via bank transfer, credit/debit card, and online payment gateways. All payments must be made in INR (Indian Rupee) unless otherwise specified.

4. Price Changes

  • Prices are subject to change based on availability and foreign exchange rates. Once full payment is made, your trip price is locked, and no further changes will apply

Cancellation Policy

1. Domestic Trips

  • Cancellation by Client:
  • 30 days or more before departure: 30% of the total trip cost is retained as a cancellation fee.
  • 15-29 days before departure: 50% of the total trip cost is retained as a cancellation fee.
  • Less than 15 days before departure: 100% of the total trip cost is retained (no refund).
 

2. International Trips

  • Cancellation by Client:
  • 45 days or more before departure: 30% of the total trip cost is retained as a cancellation fee.
  • 30-44 days before departure: 50% of the total trip cost is retained as a cancellation fee.
  • Less than 30 days before departure: 100% of the total trip cost is retained (no refund).
 

3. Refund Policy

  • Refunds, if applicable, will be processed within 7-10 business days from the date of cancellation, minus the cancellation fee.
  • Refunds will be made to the original payment method or as a credit note for future bookings, depending on the terms agreed during booking.

4. Non-Refundable Elements

  • Any non-refundable expenses such as visa fees, certain airfare, and service fees are non-refundable under any circumstances
  • In the event of visa rejection, the standard cancellation policy will apply.

Cancellation by TripRowers

1. Force Majeure

In the case of events beyond our control (natural disasters, political unrest, pandemics), TripRowers reserves the right to cancel the trip. In such cases, we will offer:

  • A full refund of the land portion of your trip, minus any non-recoverable expenses (such as visa fees).
  • A credit notes for a future trip, which can be redeemed within 12 months from the date of issue.
 

2. Insufficient Group Size

For group tours, if the minimum number of participants (typically 10) is not met, TripRowers reserves the right to cancel the trip. In such cases, you will be offered:

  • An alternative trip or departure date
  • A full refund if you do not wish to accept an alternative option.
 

Changes to Your Booking

1. Client-Initiated Changes

If you wish to change your travel dates or trip details, please contact us at least 20 days before the scheduled departure for domestic trips and 30 days for international trips. Additional charges may apply based on availability and supplier terms.

 

2. TripRowers-Initiated Changes

o In the rare event that TripRowers has to change your trip details (such as hotel, itinerary, or transport) due to unforeseen circumstances, we will notify you as soon as possible. Alternatives will be provided, and we will strive to keep any disruptions minimal.

 

Pricing Policy

Prices are based on current availability and foreign exchange rates. The final price will be confirmed at the time of booking and is subject to change.

 

Inclusions and Exclusions

Your package inclusions will be detailed in the booking confirmation. Any additional services not mentioned will incur extra charges.

 

Cancellation by Client

Cancellations must be submitted in writing. Cancellation charges apply according to the policy provided during booking. Refunds, if applicable, will be processed within 7-10 working days.

 

Credit Notes

In some cases, credit notes may be provided instead of refunds

 

Non-Refundable Charges

Certain charges, such as visa fees, are non-refundable.

 

No-Show Policy

If you fail to show up on the departure date without prior communication, 100% of the trip cost will be retained, and no refunds will be provided.

 

Booking Confirmation

To secure your booking, an advance payment is required at the time of booking. The final price is subject to change based on availability, pricing, and foreign exchange rates at the time of final payment.

 

Payment Policy

Payments must be made according to the payment schedule provided during booking confirmation. Accepted payment methods include credit/debit cards, bank transfers, and online gateways. All payments are to be made in INR unless otherwise specified.

 

Failure to Pay

Failure to pay the full amount by the specified due date may result in the cancellation of your booking without refund.

 

Government Compliance

In compliance with Indian government regulations, a 20% Tax Collected at Source (TCS) applies on international travel bookings exceeding ₹7 lakhs per financial year.

 

Itinerary Changes

Modifications by TripRowers

We reserve the right to modify itineraries, accommodations, or transportation due to unforeseen circumstances (e.g., weather, political unrest). Any changes will be communicated promptly.

 

On-Tour Changes

Itinerary changes may occur during the trip due to safety concerns or natural conditions. While we will strive to minimize disruptions, TripRowers reserves the right to make adjustments to the tour.

 

Health and Safety

Medical Conditions

Clients must disclose any medical conditions that may affect their participation in the trip. TripRowers reserves the right to request a medical certificate where applicable.

 

Health Requirements

Clients must ensure they meet health requirements (including vaccinations) for their destinations. Any medical conditions must be disclosed prior to booking.

 

Safety Guidelines

Clients must follow safety guidelines provided during the trip. TripRowers will not be liable for incidents arising from the failure to adhere to safety instructions.

 

Passports, Visas, and Travel Documents

Client Responsibility

It is the client’s responsibility to obtain valid travel documents (passports, visas). TripRowers is not liable for any issues arising from incomplete or invalid documentation.

 

Visa Assistance

While we may assist with visa applications, approval is at the discretion of the embassy or consulate.

 

Accommodation Guidelines

Check-In/Check-Out

Check-in times are generally 3 PM, and check-out times are 11 AM, subject to hotel policies. Early check-in or late check-out may incur additional charges.

 

Room Allocation

Room types and amenities may vary based on the destination. Clients are responsible for any damages incurred during their stay.

 

Transfers

Transfers are arranged according to the itinerary. Clients must be punctual for all transfers to avoid disruptions to the schedule.

 

Sightseeing

Sightseeing activities are subject to change or cancellation due to local conditions. No refunds will be provided for unused services.

 

Limitation of Liability

Third-Party Services

TripRowers acts as an intermediary between clients and third-party service providers (hotels, airlines, etc.). We are not responsible for any loss or damage caused by third-party services.

 

Force Majeure

TripRowers is not liable for non-performance due to events beyond our control (e.g., natural disasters, political unrest).

 

Conduct and Behaviour

Code of Conduct

Clients are expected to behave respectfully toward fellow travellers and follow local customs and laws. Misconduct may result in the termination of services without refund.

 

Responsibility for Damages

Clients will be held responsible for any damages caused during the trip.

 

Privacy and Data Protection

Data Collection

We collect personal information for booking purposes, handled per our Privacy Policy and applicable laws.

 

Governing Law and Jurisdiction

Legal Compliance

These Terms are governed by Indian law. Any disputes shall be subject to the jurisdiction of the courts in India.

 

Dispute Resolution

Disputes shall be resolved through mediation or arbitration under Indian law.

 

Travel Insurance

We strongly recommend purchasing travel insurance to cover unforeseen cancellations, medical emergencies, and trip interruptions. TripRowers is not responsible for any losses not covered by travel insurance.

 

Amendments to Terms

TripRowers reserves the right to amend these Terms at any time. Clients will be notified of changes, and continued use of our services constitutes acceptance of the updated Terms.
