We understand that travel plans can change, and we aim to make the process as smooth as possible. Please review our cancellation and refund terms below:

For Domestic Trips

• 30 days or more before departure – 70% refund of the total trip cost.

• 15 to 29 days before departure – 50% refund of the total trip cost.

• Less than 15 days before departure – No refund (as all arrangements are prepaid by this time).

For International Trips

• 45 days or more before departure – 70% refund of the total trip cost.

• 30 to 44 days before departure – 50% refund of the total trip cost.

• Less than 30 days before departure – No refund.

Important Notes

• Refunds are calculated on the total trip cost, not just the booking amount paid.

• Refunds will be processed within 7–10 working days from the date of cancellation confirmation.

• Certain services—such as flights, visas, permits, or other special arrangements—are strictly non-refundable, regardless of the cancellation date.

If Backpackers Hyderabad Cancels

In rare cases where we must cancel a trip due to low group size, adverse weather, or unavoidable circumstances, you will receive:

• 100% refund of the trip amount OR

• A full credit note to use towards any future trip with us.

No-Show Policy

Failure to join the trip without prior cancellation will result in 100% retention of the total trip cost, with no refund applicable.

Train Travel Guidelines:

We make every effort to provide confirmed train tickets for our tours; however, we cannot guarantee confirmations, as railway services are operated by the Indian Railways, a government entity.

Included Tickets:
All packages starting from Hyderabad come with Sleeper class train tickets included by default.

Ticket Upgrades:
If you prefer to travel in 3AC, 2AC, or 1AC, you may request an upgrade. Additional costs will be applicable as per current IRCTC rates.

Ticket Status Updates:
We will keep you informed about the status of your booking. In cases where tickets are still not confirmed (CNF), we advise you to monitor the status periodically.

Alternatives for Unconfirmed Tickets:

• If the ticket remains in RAC or WL two days before departure, opting for Tatkal or Premium Tatkal tickets is recommended for better chances of confirmation. These are subject to IRCTC’s dynamic pricing and availability.

• If train tickets are not confirmed and a bus option exists, switching to a bus is advisable to ensure smooth travel.

Additional Charges:
Any upgrades, Tatkal bookings, or alternative arrangements will incur extra charges based on IRCTC rates. We do not charge any extra fees for processing Tatkal bookings.

Train Booking Process

If train tickets are unavailable during initial booking, we will attempt to secure them via Tatkal, which opens one day before travel.

Important: Tatkal availability is on a first-come, first-served basis and includes an additional charge over the base fare. If Tatkal fails, Premium Tatkal or bus travel may be offered as alternatives. Any extra expenses incurred in these alternatives are to be borne by the traveler.

Final Payment Policy

The remaining balance must be cleared at least 2 days prior to departure.

Limitations & Responsibility

We are responsible for the parts of your trip directly arranged and managed by us. However, we do not accept liability under the following circumstances:

• Missing your train or bus due to personal delays. We will support you in finding alternative transport but will not reimburse any costs.

• Accidents, health issues, loss, delays, or thefts caused by factors beyond our control.

• Services such as hotels and transport are managed by third-party vendors; we do not have ownership or control over them and thus can't be held liable for their shortcomings.

• Failures resulting from customer negligence.

• Unpredictable incidents caused by third parties not related to the travel service.

• We do not offer travel insurance. Travelers are advised to secure their own coverage for emergencies.

Itinerary Adjustments

Once the trip begins, the planned schedule will be followed as agreed. However, unforeseen events (weather, strikes, etc.) may require adjustments. We reserve the right to make changes to the itinerary at any time in the interest of group safety and logistics. You will be notified as early as possible in such cases.

Event Code of Conduct

• Strict Prohibition: Use or possession of weed or any illegal substances is not allowed during the trip.

• Respect Fellow Travelers: Maintain a cooperative and friendly atmosphere.

• Punctuality Matters: Avoid delays that may affect the group’s schedule.

• Environmental Responsibility: Dispose of waste properly. Help us keep our trips eco-friendly and plastic-free.
